Venue Host Agreement

This Venue Host Agreement ("Agreement") supplements our general Terms and Conditions and applies specifically to users who provide coliving accommodation for Bootcamps on the Reebooot Platform.
1. The Relationship
You are an independent venue provider, not an employee or agent of Reebooot. You are solely responsible for your venue's compliance with Portuguese law, property insurance, and any tax obligations arising from hosting income.
2. Approval Process
To host Bootcamps on the Platform you must:
- Submit a Venue application via the Platform
- Provide accurate information about your venue
- Receive written approval from Reebooot
- Agree to the weekly hosting cost confirmed by Reebooot
Reebooot may inspect your venue (in person or remotely) before approving. We reserve the right to reject any venue that does not meet our standards.
3. Venue Standards
Your venue must at all times meet the following minimum standards:
3.1 Accommodation
- Sufficient beds for the confirmed Cohort size (maximum 20 participants + Trainer)
- Clean, private sleeping arrangements
- Clean bathrooms with hot water
- Fresh bed linen and towels for each Cohort
- Adequate heating/cooling for the season
3.2 Learning Space
- A dedicated space suitable for group training sessions
- Adequate seating for all Participants
- Reliable high-speed WiFi (minimum 50 Mbps)
- Power sockets accessible to all Participants
3.3 Common Areas
- A kitchen or catering facility (if meals are offered)
- Common social areas for Participants
- Outdoor space (if advertised)
3.4 Safety and Compliance
- All required Portuguese safety certifications (fire safety, etc.)
- First aid kit on premises
- Emergency contact information displayed
- Compliance with all applicable Portuguese hospitality and accommodation regulations
4. Your Obligations as a Venue Host
4.1 Availability
- Keep your venue availability calendar accurate on the Platform at all times
- Not accept other bookings for dates confirmed for a Reebooot Cohort
- Notify Reebooot immediately if an emergency affects availability
4.2 Hosting
- Prepare the venue for each Cohort (cleaned, stocked, ready for check-in by Sunday 6pm)
- Be available (in person or by phone) throughout each hosted Cohort for any venue issues
- Not interfere with training delivery or Cohort activities
4.3 Participant Welfare
- Ensure the venue is safe and welcoming for all Participants
- Not discriminate against any Participant
- Report any welfare or safety concerns to Reebooot immediately
4.4 Meals (if offered)
- If you have agreed to provide meals, deliver them to the standard and schedule agreed with Reebooot
- Accommodate any dietary requirements communicated by Participants or Reebooot
- Maintain food hygiene standards required by Portuguese law
4.5 Data Protection
- Participant personal data shared with you is provided solely for the purpose of hosting the Cohort
- You must not use Participant data for marketing or any other purpose
- You must handle all Participant data in compliance with GDPR
- Delete or return Participant data within 30 days of Cohort completion
5. Revenue Share
5.1 Your Earnings
For each successfully hosted Cohort you will receive a fixed weekly hosting cost as agreed with Reebooot at the time of venue approval.
Your weekly cost covers: rent/mortgage, utilities, cleaning, maintenance, and consumables for the Cohort week.
5.2 Payment Schedule
Reebooot will pay your hosting fee within 30 days of Cohort completion.
5.3 Meals Add-On
If you provide optional meals to Participants, Reebooot will pay you the agreed meals cost (€90 per participant per week) within the same payment cycle.
5.4 Adjustments
Reebooot reserves the right to review and adjust your weekly hosting cost annually or when venue circumstances change materially.
6. Cancellation Policy
6.1 Cancellation by Reebooot or Trainer
If a Cohort is cancelled by Reebooot or the Trainer, you will receive a cancellation fee of 25% of your weekly hosting cost as compensation for preparation costs, provided the cancellation occurs within 14 days of the start date.
6.2 Cancellation by Venue Owner
If you cancel a confirmed Cohort:
- All confirmed Participants will be affected and will receive full refunds
- You will not receive your hosting fee
- Reebooot may charge you for any costs incurred
- Repeated cancellations may result in removal from the Platform
7. Insurance and Liability
7.1 Your Responsibility
You are responsible for:
- Maintaining adequate property and liability insurance for your venue
- Ensuring your insurance covers commercial short-term accommodation use
- Any injuries or accidents that occur on your premises
7.2 Reebooot's Limitation
Reebooot is a marketplace facilitator. We are not liable for:
- Damage to your property caused by Participants or Trainers
- Personal injury occurring at your venue
- Any loss arising from hosting activities
7.3 Damage by Participants
If Participants or Trainers damage your property, you should report this to Reebooot within 48 hours of the Cohort end date. We will facilitate communication between parties, but cannot guarantee compensation. We recommend you document the venue condition before each Cohort.
8. Venue Profile
8.1 Accuracy
Your venue profile on the Platform must accurately represent your venue. Photos must be genuine and current. Misleading descriptions are grounds for immediate removal.
8.2 Updates
You must update your venue profile promptly if amenities change, capacity changes, or photos become outdated.
8.3 Licence to Reebooot
By listing your venue on the Platform you grant Reebooot a non-exclusive licence to display your venue photos, name, and description on the Platform and in marketing materials.
9. Termination
9.1 By You
You may close your Venue account by contacting asadij@gmail.com. Any confirmed future Cohorts must be honoured or resolved before closure.
9.2 By Reebooot
We may suspend or remove your venue immediately for:
- Failure to meet venue standards
- Serious Participant complaints
- Fraudulent information in your venue listing
- Breach of this Agreement
10. Governing Law
This Agreement is governed by Portuguese law. Disputes shall be resolved in the courts of Torres Vedras, Portugal.
